Overview#

This Privacy Policy explains what information ToolVibe collects when you use the website, how that information is used, and the choices you have. ToolVibe is an online tools platform. It is operated as part of the work of CodeLine Technologies. We aim to collect as little information as possible and to be clear about everything we do collect.

We do not require you to create an account to use the tools, and we do not sell your personal information.

Information you provide#

The main way you provide information is through the Contact Us form. When you submit it, we collect the details you enter: your full name, phone number, email address, and the content of your message. We also record your IP address and browser user-agent string at the time of submission, which help us identify and prevent spam and abuse.

This information is used only to respond to your enquiry, understand and fix problems, and improve the service. Contact messages are stored in our database and are protected so that they are not publicly accessible.

Files and text you process#

ToolVibe uses two processing models, and each tool page states which one applies.

Browser-based tools#

Most image, text, developer, SEO, and calculator tools run entirely in your browser using client-side code. When a tool runs in your browser, the files, text, and values you provide are processed on your own device. They are not uploaded to our servers, and we cannot see them.

Server-based tools#

Some tools, such as the PDF utilities, require server processing. For those tools, your file is uploaded to complete the specific task you requested and is processed in the server's temporary directory. The generated output is delivered to you as a download and is deleted automatically after the download completes. We do not keep copies of your uploaded files after processing, and we do not use them for any other purpose. You can read the full details on our File Handling page.

Cookies and local storage#

ToolVibe uses a small number of cookies and browser technologies to make the site work and remember your preferences.

  • Session and security cookies. A session cookie and a cross-site request forgery (CSRF) token help secure forms, including the Contact Us form.
  • Theme preference. Your light or dark mode choice is stored in your browser's local storage so the site looks the way you left it.
  • Anonymous analytics identifier. If first-party analytics are enabled, a small cookie named tv_vid holds a random identifier so we can count unique visits and tool usage. It contains no personal information and is described in the Analytics section below.
  • Cookie consent. A first-party cookie named tv_consent remembers whether you accepted or declined optional cookies, so we do not have to ask on every visit.
  • Optional Google Analytics. Only if you accept the consent banner, Google Analytics may set its own cookies (such as _ga) to measure how the tools are used.
  • Advertising and consent. Where advertising or consent tools are enabled, they may set their own cookies to remember your choices and to serve ads. These are disclosed through the consent options shown on the site.

You can clear cookies and local storage at any time through your browser settings. Doing so may reset your preferences.

Analytics#

ToolVibe runs its own first-party analytics, which is our primary measurement. A small first-party cookie named tv_vid stores a random, anonymous identifier. That identifier is not linked to your name, email address, or any account, and on its own it cannot be used to identify you.

Using that identifier we record only basic, aggregated information: which pages and tools are visited, the approximate traffic source (for example a search engine or a direct visit), the device category, browser, and operating system, and whether a tool run started, finished, or failed. We use this solely to understand overall traffic and usage patterns and to improve the tools. Your files and the text you process are never part of analytics.

With your permission we may also load Google Analytics (GA4) to understand how the tools are used. Google Analytics is optional and separate from our first-party analytics: it is loaded only after you accept the cookie consent banner, and it is not required for the site to work. If you decline, only our first-party analytics run. How Google handles data is described in Google's partner-site policies.

We exclude known bots and automated crawlers from analytics. Raw analytics records are kept for a limited period and then removed, and longer-term figures are stored only in aggregated, non-identifying form. You can block or delete cookies at any time through your browser settings — the site and its tools keep working normally either way.

Server logs and technical information#

Like most websites, our servers may record standard technical information such as request times, requested URLs, and IP addresses. These logs are used for security, diagnostics, and to keep the service reliable. They are retained only as long as is operationally necessary.

Third-party services#

ToolVibe may rely on a small number of third-party services to operate. These can include hosting and infrastructure providers, and advertising or analytics providers where enabled — including Google Analytics, which is loaded only after you accept the consent banner. Some ToolVibe tools offer optional AI assistance; when you use one of those tools, the text you submit is sent to our server and to the configured AI provider solely to generate the result you requested. We describe this in more detail on our AI Disclosure page. We do not sell your personal information to third parties.

How we use information#

  • To provide and operate the tools you use.
  • To respond to messages sent through the Contact Us form.
  • To detect, prevent, and address abuse, spam, and security issues.
  • To maintain and improve the reliability and quality of the platform.

Data retention#

Uploaded files for server-based tools are deleted automatically after the download is delivered, and intermediate working files are removed at the end of the request. Contact messages are retained so we can respond and keep a record of support requests, and are deleted when they are no longer needed. Standard server logs are retained only for a limited operational period. Analytics records are kept for a limited period before being deleted or rolled up into non-identifying aggregates, and the anonymous analytics identifier expires on its own.

Data security#

We take reasonable technical measures to protect the information we hold. These include using encrypted connections (HTTPS), protecting forms with CSRF tokens, validating all submitted data on the server, and restricting access to stored contact messages. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your privacy requests#

You can ask us to access, correct, or delete the personal information you have sent us through the Contact Us form. Contact us using the details on our Contact Us page and we will respond within a reasonable time.

International data handling#

Our servers and service providers may be located in different countries. Where information is processed across borders, we take reasonable steps to ensure it continues to be handled in line with this policy.

Children's privacy#

ToolVibe is not directed at children, and we do not knowingly collect personal information from children. If you believe a child has submitted personal information to us, please contact us so we can remove it.

Changes to this policy#

We may update this Privacy Policy from time to time to reflect changes in the service or in the law. When we do, we will revise the "last updated" date shown on this page. Continued use of ToolVibe after an update means you accept the revised policy.
