Two ways ToolVibe processes your files#

ToolVibe uses two distinct processing models. Each tool page clearly states which one applies to that tool, so you always know whether your file stays on your device or is sent to our server.

Browser-based tools#

Most of the image, text, developer, SEO, design, and calculator tools run entirely in your browser using client-side JavaScript. When a tool runs in your browser, the file or text you provide is processed on your own device. Nothing is uploaded, and we cannot access your content. Closing the tab removes any in-browser data associated with the tool.

Server-based tools#

Some tools, such as the PDF utilities, require server processing because of the way those file formats are handled. For these tools only, your file is uploaded to our server to complete the task you requested. See our PDF tools for examples.

The file lifecycle step by step#

For server-based tools, the process follows these stages:

  1. Upload. You select a file in your browser and submit it to our server. The file is received into the server's temporary upload directory.
  2. Process. The tool performs the requested operation, such as merging, splitting, extracting, or converting pages. Working files created during processing are stored in the server's temporary directory.
  3. Download. The finished result is sent back to your browser as a download.
  4. Cleanup. The generated output file is deleted automatically immediately after the download is delivered. Any intermediate working files are removed when the request finishes.

In short: Upload → Process → Download → Cleanup. We do not keep a copy of your file after the task is complete, and we do not use it for any purpose other than producing the result you asked for.

Uploading files#

Files are selected using the upload control on the tool page. Depending on the tool, you may select one file or several at once. Browser-based tools never send your selection to the server. Server-based tools upload the file only when you start processing it.

Temporary storage#

Server-based tools use the operating system's temporary directory to hold the file while it is being processed and to prepare the output. These files are temporary by design and are not stored in a permanent library.

File retention#

There is no long-term retention of uploaded files. Output files are deleted automatically after the download is delivered, and intermediate files are cleared at the end of processing. Uploaded data does not persist on the server once the task is complete.

File deletion#

Deletion is automatic. When a server-based tool finishes, the output file is marked for deletion as soon as it has been sent, and temporary files created during processing are removed when the request ends.

File security#

Transfers use encrypted HTTPS connections. Server-side processing is performed in a temporary workspace, and access to the server is restricted to authorised operators. We do not expose uploaded files through public links.

Supported formats and limits#

Each server-based tool enforces sensible limits to keep the service stable and fair for everyone. Current limits include:

  • File size: up to 25 MB per file for PDF tools.
  • Merge PDF: 2 to 20 PDF files at a time.
  • Split, extract, delete pages, PDF to text, PDF to JPG: one PDF at a time.
  • JPG to PDF: 1 to 30 images, supporting JPG, JPEG, PNG, and GIF.
  • PDF to JPG: choose an output resolution of 100, 150, 200, or 300 DPI.

Browser-based tools are limited mainly by your device's available memory rather than a fixed server limit. You can browse the image tools and the PDF tools to see which processing model each one uses.

If processing fails#

If a file cannot be processed — for example, because it is corrupted, password-protected, or over a limit — the tool shows an error explaining what went wrong. Nothing is retained from a failed attempt beyond the automatic cleanup described above.

Third-party processing#

Server-based file processing is carried out on our own infrastructure. Some optional AI-assisted tools send text (not files) to a configured AI provider; this is described on our AI Disclosure page. No uploaded file is shared with third parties for advertising or any unrelated purpose.

Your responsibilities#

Please avoid uploading documents containing sensitive personal, financial, or confidential information unless you are comfortable processing them online. As with any online service, keep your own backup of important files before processing them, and review the result before relying on it.
